It is the intention of the school district to make facilities available for public use, within the limits of the regulations, found below. Rental fees are based on the current schedules as approved by the Kalispell Public School Board of Trustees. The school district reserves the right to cancel rental agreements when it is determined by the district that the facilities are needed for school purposes.
All rental requests will be by application. By submitting an application the petitioner agrees to observe the following specific Board Policies (4330, 4330P(1), 4330-NF(1), 4332) that govern the use of school facilities. (Found below.)
Requests must be submitted at least ten (10) business days prior to the activity start date.

The application below is required for rentals of School District 5 spaces. You will also be required to submit a copy of your groups Liability Insurance, with School District 5 listed as an additional insured.

Once you have filled out the application and your request has been submitted the following will happen:
- The request will be reviewed for approval.
- If your application was submitted more than 30 days before the requested date you will receive an email response closer the requested date unless a specific request has been made.
- Next you will receive an email letting you know if your request has been approved or denied. If your request has been denied, you may be offered an alternative if one is available or you may choose to alter your event by changing times, dates and/or facility.
- If this is your first rental of the year, you will be required to meet with the principal or maintenance staff designee to go over the User Responsibilities and Rules and Regulations for that building.
- When you get the approval email, you must supply a Certificate of Liability insurance*, School Facilities/Grounds Use and Liability Release Agreement*, Facility Use Waiver* and appropriate pay information to confirm the agreement before your event will be finalized.
- All required documentation and payment must be received at least 5 business days prior to your event or it will be canceled.
- Should it become necessary to cancel your event you must give at least a 72 hour's notice (business days).
*Certificate of Liability insurance: The district requires groups to supply documented proof of liability insurance coverage or letter from the insurer which states the name of the insurer, effective dates of the coverage and the limits of liability and names KPS as an additional insured.
*School Facilities/Grounds Use and Liability Release Agreement: The district requires completion of this form per Board Policy 4330.
*Facility Use Waiver: The district requires groups to supply a signed facility use waiver for each participant under the age of 18.
*Facility Use Fee: Please be advised that the fee schedule has been approved for the 25-26 school year and will be implemented.

Our heating and cooling systems are on a set schedule of operations during the week and on weekends to help reduce our energy consumption. If you are planning an event for after normal school hours or on weekends and require this service. Please contact the Facilities Office at 751-3400 x8391 to confirm that your event has been scheduled and the level of services that will be provided for it.
Board Policy 4330 - Community Use of School Facilities
School facilities are available to the community for educational, civic, cultural, and other non-commercial uses consistent with the public interest, when such use will not interfere with the school program or school-sponsored activities. Use of school facilities for school purposes has precedence over all other uses. Persons on school premises must abide by District conduct rules at all times.
Student and school-related organizations shall be granted the use of school facilities as per current adopted rate schedule. Other organizations granted the use of school facilities shall also be subject to the current rate schedule. The Superintendent or designee will develop procedures to manage community use of school facilities, which will be reviewed and approved by the Board. Use of school facilities requires the Superintendent’s or designee’s approval and is subject to the procedures.
Administration will approve and schedule various uses of school facilities. A master calendar will be kept in the District Facilities office for scheduling dates to avoid conflicts during the school year. Should a conflict arise, the District reserves the right to cancel an approved request when it is determined that the facilities are needed for school purposes. Requests for use of school facilities must be submitted to the District Facilities Office in advance of the event.
